AI Chatbot vs Live Chat for Technical Sales
Live chat sounds like the obvious answer to slow enquiry handling. A real person, answering in real time, on your website. For a lot of businesses it works well. For technical suppliers it tends to run into the same problem every time: the person on the other end of the chat needs to know the product, and those people are already busy. And let us not forget what it costs to train someone up to become an expert. Having them sat at a screen replying to people who may or may not buy is not the best use of that investment.
Here is how the two options compare for a technical sales team, and why the answer for most is not one or the other.
The problem with live chat for technical products
Live chat depends on someone being available and able to answer. With technical products, that usually means an engineer or an experienced salesperson, not a general receptionist. Those are the people who are on site visits, in meetings, or answering the phone.
The result is familiar. The chat widget says “online” for part of the day, then switches to “leave a message”, which is just a contact form in a different shape. Enquiries that arrive in the evening or at weekends wait until someone is back, which is exactly when buyers are doing much of their research.
Having tested many live chats, I found the average response time was around 20 minutes. And can you guess the most common response? That is right: “Can I have your email and we will get back to you?” You may be thinking, what is wrong with that? A buyer who has just found you is at peak excitement. All that momentum is lost when they have to wait, and it is a dead rubber if the answer is “can I have your email?”. Put yourself in their shoes. You would not be best pleased.
Where an AI chatbot is stronger
It is available all the time. Evening, weekend or bank holiday, the buyer gets an answer when they ask the question, not the next working morning.
It answers consistently. A system trained on your own datasheets and manuals gives the same correct answer to the same question every time, whoever is on shift.
It qualifies while it answers. By the end of the conversation it knows what the buyer needs and how urgent it is, and it passes that to your team in full.
It does not tie up your engineers. The repetitive first-layer questions, such as specs, compatibility and availability, get handled without pulling someone off more valuable work.
Most people do not realise how little time sales teams actually spend selling. Salesforce research found that reps spend less than 30% of their time on selling, with the rest going on other tasks, including answering basic, repetitive questions. That is not a good use of your revenue generators.
Where live chat is still stronger
It would be misleading to say a person adds nothing. Live chat is better for complex, custom or commercial conversations: negotiating on price, scoping a bespoke system, or reassuring a nervous first-time buyer who wants to know there is a real team behind the website. Relationships in technical sales still matter, and some conversations need a person.
Side by side
- Availability: live chat covers staffed hours; an AI chatbot covers every hour.
- Technical accuracy: live chat depends on who is on shift; an AI chatbot trained on your documentation is consistent.
- Qualifying the lead: live chat relies on the agent remembering to ask; an AI chatbot captures it in every conversation.
- Complex or custom requests: live chat is stronger; an AI chatbot should hand these to a person.
- Cost to your team: live chat needs someone watching the screen; an AI chatbot runs without that.
The setup that works best
For most technical suppliers the best approach is not choosing between them. Let the AI handle the first response, every time, day or night. When a conversation needs a person, whether that is a custom build, a price negotiation or a buyer who asks for one, it hands over with the full conversation attached, so nobody has to start again.
That way your team only steps into the conversations that genuinely need them, and no buyer is left waiting for someone to come back online.
In this new ‘golden’ age of automation, doing everything manually is no longer acceptable to new prospects. People buy from people, but interest comes from finding something and being able to find out more straight away. Do not think “my customers like talking to me”. They may well do, but new business just wants to know if you can help. Win them first, then talk to them properly once you get the chance, and grow the account from there.
